Privacy Policy
What personal information DEVNOVA SOLUTIONS LTD collects, why it is processed, how long it is kept, who it may be shared with, and the rights available to individuals.
1. Who we are
DEVNOVA SOLUTIONS LTD is a company registered in England with company number 17360225. The registered office is 66 Paul Street, London, England, EC2A 4NA, United Kingdom.
For personal information collected through this website and in the course of responding to enquiries, DEVNOVA SOLUTIONS LTD acts as the controller — meaning it decides why and how that information is processed.
No Data Protection Officer has been appointed. Privacy enquiries are handled directly through the contact details in section 21.
2. Scope of this policy
This policy covers personal information processed in connection with this website, enquiries made through it, and the ordinary business relationship that may follow.
Where DEVNOVA processes personal data on behalf of a client as part of a project — for example within a system being built or reviewed — the client is normally the controller and DEVNOVA acts on the client's instructions. Those arrangements are addressed in the applicable written agreement rather than in this policy.
3. Information collected through this website
The project enquiry form is the only mechanism on this website that collects personal information. Depending on what is completed, it may include:
- Contact data — full name, email address, telephone number, country and preferred contact method.
- Business data — company or organisation name.
- Project details — enquiry type, registered activity, service category, selected service, project stage, current systems or tools, main objective, required integrations, estimated budget range, preferred start and completion periods, and the free-text project description.
- Consent record — confirmation that the privacy consent checkbox was ticked.
Only the fields marked as required must be completed. Information entered in optional fields is provided at your discretion.
Please do not include special category data, financial account details, passwords or credentials in the enquiry form. The form is not designed for such information.
Contacting us by telephone or email will also involve processing the contact details and content of that communication.
4. Information provided during an engagement
Where an enquiry develops into a project, further information is typically exchanged. This may include the names and business contact details of client staff, project documentation, access credentials for systems within scope, and correspondence.
Where a project requires access to systems containing personal data belonging to the client's own customers or staff, the arrangements for that access — including the purpose, duration and security measures — are agreed in writing before access is granted.
5. Technical information
This website does not use analytics software, advertising technology, tracking pixels or third-party profiling scripts.
As with any website, the hosting provider processes standard technical information necessary to deliver pages and to protect the service — for example, the IP address making a request, the time of the request, the page requested and general browser information. This is handled by the hosting provider as part of operating the platform and is used for delivery, security and abuse prevention.
6. Why information is processed
Personal information is processed for the following purposes.
- Responding to enquiries. Reading an enquiry, asking follow-up questions and replying.
- Preparing quotations and proposals. Assessing a requirement and producing a written proposal.
- Delivering agreed services. Carrying out development or consultancy work and communicating during a project.
- Maintaining business records. Keeping records of quotations, agreements, invoices and correspondence as required for the ordinary running of a business.
- Protecting the website. Preventing spam submissions and misuse.
- Service communications. Sending messages relating to a live enquiry or project.
Enquiry information is not used for unsolicited marketing, is not sold, and is not shared with third parties for their own marketing purposes.
7. Legal bases for processing
The legal bases relied upon are described below. The applicable basis depends on the circumstances of the processing.
- Steps prior to entering a contract, and performance of a contract. Responding to an enquiry, preparing a proposal and delivering an agreed engagement.
- Legitimate interests. Operating and securing the website, maintaining business records, and handling correspondence — balanced against the interests and rights of the individuals concerned.
- Consent. Where the enquiry form records agreement that submitted information may be used to respond and to prepare a proposal. Consent can be withdrawn at any time, which does not affect processing carried out before withdrawal.
- Legal obligation. Where information must be retained or disclosed to satisfy a legal or regulatory requirement.
Where more than one basis could apply to the same processing, the basis actually relied upon is the one recorded at the time the information is collected. If you wish to know which basis applies to information you have provided, please ask using the contact details in section 21.
8. Data minimisation
The enquiry form requests only what is genuinely useful for replying to an enquiry, and most fields are optional. No account is required to contact us, and no information is requested that is not related to a project enquiry.
The same principle applies during engagements: access to systems and data is requested only where it is necessary for the agreed work, and for no longer than that work requires.
9. Retention
Personal information is kept only for as long as there is a clear reason to keep it.
- Enquiries that do not proceed. Retained for a limited period so that the correspondence can be understood if the enquirer returns, then deleted.
- Enquiries that become projects. Retained for the duration of the engagement and afterwards for as long as needed for business records, warranty questions and any applicable legal or accounting requirement.
- Financial records. Retained for the period required by applicable accounting and tax rules.
- Access credentials. Removed or invalidated once the work requiring them is complete.
Where information is no longer needed, it is deleted or securely disposed of. Retention is reviewed periodically so that records are not kept indefinitely by default. If you would like to know how long information relating to you is expected to be held, please ask using the contact details in section 21.
10. Security measures
Reasonable technical and organisational measures are applied to protect personal information, including encrypted transport for this website, access controls on systems holding correspondence and project material, restriction of credentials to those who need them, and prompt removal of access that is no longer required.
No method of transmission or storage can be guaranteed to be completely secure, and no such guarantee is made here. Where a security incident affecting personal data occurs, it will be handled in accordance with applicable legal requirements.
11. Who information may be shared with
Personal information may be shared with the following categories of recipient, only where necessary.
- Hosting providers. The platform hosting this website and any project infrastructure within an agreed scope.
- Email providers. The service used to send and receive business correspondence.
- Form processing. Netlify, which receives and stores submissions made through the enquiry form — see section 12.
- Professional advisers. Accountants, legal advisers or insurers, where there is a genuine need.
- Technical suppliers and subcontractors. Where engaged to assist with part of a project, subject to equivalent confidentiality obligations.
- Authorities. Where disclosure is required by law.
Personal information is not sold, rented or traded.
12. Netlify form processing
The project enquiry form is processed using Netlify Forms. When the form is submitted, its contents are transmitted to and stored by Netlify, the platform on which this website is hosted, and are then made available to DEVNOVA.
Netlify processes the submission as part of providing that service and applies its own terms and privacy practices to the data it handles. Netlify also operates spam filtering on form submissions.
If you would prefer not to use the form, you can contact us directly by email at support@devnovasolutions.tech or by telephone on +44 7853 151 992.
13. Cookies and browser storage
This website does not set advertising or analytics cookies and does not install tracking scripts.
Limited essential browser storage is used. Specifically, when a choice is made in the cookie banner, that choice is recorded in the browser's localStorage so that the banner does not reappear on every page. The value stored indicates only which option was selected.
No sessionStorage is used at present, and no form content is stored in the browser between visits. Full detail is available in the Cookie Policy.
14. International processing
Service providers used to operate this website and to handle business correspondence may process or store data on infrastructure located outside the United Kingdom, including in the European Economic Area and the United States. Providers of this kind typically operate global infrastructure, and it would be inaccurate to state that no data is ever transferred internationally.
Where such processing occurs, it takes place under the transfer arrangements those providers put in place, which commonly include standard contractual clauses or an equivalent approved safeguard. Details of the mechanism applied by a particular provider can be supplied on request using the contact details in section 21.
15. Your rights
Subject to the conditions and exemptions in applicable United Kingdom data protection law, individuals have the following rights in relation to their personal information.
- Access. To ask whether personal information is held and to receive a copy of it.
- Correction. To have inaccurate information corrected and incomplete information completed.
- Deletion. To ask for information to be deleted where there is no continuing lawful reason to keep it.
- Restriction. To ask that processing be limited in certain circumstances, for example while accuracy is being checked.
- Objection. To object to processing carried out on the basis of legitimate interests.
- Portability. To receive certain information in a structured, commonly used and machine-readable format, where that right applies.
- Withdrawal of consent. To withdraw consent at any time where processing is based on it, without affecting processing already carried out.
16. How to exercise your rights
Requests can be made by email to support@devnovasolutions.tech or in writing to the registered office address.
Requests are answered within the period required by applicable law. Confirmation of identity may be requested before a request is actioned, so that information is not disclosed to the wrong person.
No fee is charged for a routine request. Where a request is manifestly unfounded or excessive, a reasonable fee may be charged or the request declined, with reasons given.
17. Complaints
If you are concerned about how your personal information has been handled, please contact us first so that the matter can be addressed directly.
You also have the right to complain to the supervisory authority for data protection in the United Kingdom, the Information Commissioner's Office. Contacting us first is encouraged but is not a precondition.
18. Children
This website and the services described on it are directed at businesses and adults. The enquiry form is not intended for use by children, and information is not knowingly collected from them.
19. Links to other websites
This website may reference external organisations or services. Where a link to an external website is followed, that website's own privacy practices apply. DEVNOVA is not responsible for the content or privacy practices of websites it does not operate.
20. Updates to this policy
This policy may be updated to reflect changes in how the website or the business operates. The effective date at the top of this page shows when the current version took effect.
Where a change materially affects how personal information is handled, reasonable steps will be taken to bring it to the attention of those affected.
